Tasks are generally completed by doing actions. A task defines what has to be achieved, and actions define how a task is to be done.

For high productivity, a simple way to consistently link tasks, actions and To Do lists is essential.
You do a number of actions to complete a task. Tasks need to be broken down into a list of actions. When an action is allocated to one or more people, it becomes a To Do for those people.

When someone is given a task to complete, they identify the other people they need to help them get the task done. Then they usually meet to discuss how they will do the task and who will do what, when and with whom. They create an agreed list of actions that need to be done to complete the task (sometimes called a workflow). Then they make someone responsible to do each action including any assistance needed by other people. Finally each person records the actions they need to do, and if they are organised, they add the actions to their To Do list so they don’t forget them.

 TASKS are linked through ACTION LISTS to personal TO DO lists.

Bigger tasks like strategies, projects and changes are created by joining together many single tasks. The secret is that each single task has a list of actions that tell people what they need to do, when and with whom for that task. Then relevant actions from all tasks are combined to create a personal To Do list.

A significant problem in the workplace is that people are unclear about what is happening and what they need to do, when and with whom. Time consuming meetings and communications are used to create and sustain the links between tasks and To Do’s: with inconsistent results.
